Job Title: Office Manager
Time Commitment: Full-time Exempt, 40 hours per week

WHO WE’RE LOOKING FOR
General Summary The Office Manager will work in close partnership with Living Jazz’s Executive and Artistic Directors to execute the mission and strategic goals of the organization. They will support operations for the
organization with an emphasis on Living Jazz’s Children’s Project, Jam Camp West, Jazz Camp West, Jazz Search West, Living Jazz’s Gala, and annual tribute to Dr. Martin Luther King Jr. They will also serve as support with the marketing department, development, community outreach efforts, and volunteer cultivation & coordination. Additionally, the Office Manager will be assisting with administrative support tasks and have stellar organizational, time management, and communication skills.
DUTIES AND RESPONSIBILITIES:
Program Management
Maintain administrative documents and file structure- digital and print
Interface with venues, vendors, key personnel, and participants for each program. (i.e. venue managers, parents, technical crew, schools, school districts, etc.)
Recruiting, training, and managing additional staff and volunteers as needed.
Manage, maintain, archive, and organize program print collateral.
Procurement of vendors & supplies.
Hiring and organizing crew as needed, procurement of supplies, set up and clean up depending on size of project ie: MLK tribute versus board meetings and retreats.
Supporting the Living Jazz Children’s Project with site visits, attaining translated materials, scheduling, meetings with key partners, identifying ways to improve.
Office & Facility Management
Support Camp Director as needed with Jazz Camp and Jam Camp registrations.
Making sure the office is organized, ordering office supplies, making sure internet and web hosting is working, and maintaining utilities.
IT System Setup and Maintenance.
Warehouse management and maintenance of supplies.
Manage mail, email, and voicemail.
General data entry.
Living Jazz owns a tremendous inventory of supplies and equipment used for programs stored in an Oakland based warehouse in Oakland as well as a Berkeley storage facility. Office manager is responsible to maintain, organize, and replenish all warehoused supplies before and after programs. This includes keeping up to date inventories annually, and organizing supplies before program transports.
DESIRED CANDIDATE QUALIFICATIONS AND QUALITIES:
2+ years supervisory experience 2+ years experience in administrative and office management
Strong understanding of how social identity, economic, and cultural factors intersect dynamically with/in Living Jazz programs, schools, students, colleagues, families, self and society at-large.
Attention to detail and problem-solving skills.
Proficiency in Word, Excel, etc. as well as Google Suite on both PC and Mac.
Proficiency in CRM Software such as Salesforce is a plus.
Experience in nonprofit management is a plus
Skilled communicator, learner, listener, and collaborator - open, approachable, personable – who creates a positive working environment within the organization and community.
Embraces technology and is experienced in leveraging current communication tools and management platforms designed for organization & efficiency.
Ability to work some weekends and evening hours as necessary.
Must live in the San Francisco Bay Area and be able to work at our Oakland office.
SALARY: This is an Exempt full-time position with an annual salary of $55,000 - 65,000 (commensurate with experience) and an expected average of 40 hours per week.
