OVERVIEW The Education Administrative Coordinator supports the Education Department with multiple tasks directly affecting day to day operations. Must be able to multitask, be thoroughly organized, detail-oriented and deadline driven. Excellent computer skills needed; must be able to work independently and with limited input.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Manage and track department invoices and check requests
Take meeting notes, following up on action items and calendaring as needed
Departmental surveys and Document management
Update Education contact lists regularly using Tessitura and Google Docs
Manage Internal Education Calendar
Assist with administrative duties as needed
Assist at Education events as needed (both on and off-site)
Research and help maintain mailing lists
Proof read marketing and website materials
Assistance with Jazz in the Middle and Jazz in Session scheduling and execution
Scanning and copying of music for ensembles and clinics
CD and supply inventory and sales tracking
Tessitura: class lists, tuition reports, mailing lists, conference attendance as required
Artifax: enter all events using templates (compile statistical data)
Oversee and submit web listings for our events
Assist Ensemble Coordinator with all HSAS travel
Assist Ensemble Coordinator with HSAS CD as needed
Contract tracking
Oversee guest lists w/ help from box office
Handles class registration (communication with students, data collection)
Represent EDU at weekly interdepartmental meetings (operations, artistic, production, miscellaneous offsite partners)
Coordinate EDU offsite meetings, PDs, workshops
Project management support for Discover Jazz, Family Matinees and EDU workshops (contracts, payments, pre and post communication, survey analysis and logistics with FOH, production, marketing and Box Office)
Coordinate and submit marketing jobs for EDU
Manage EDU reception
Coordinate OSCs (booking, marketing, communication and day of logistics)
Submit statistical data to Devo and Finance
Coordinate and secure annual EDU bookings
Cross-departmental support for On Sales, Gala
Future: annual EDU report, update EDU financial procedures, manage HS intern
DESIRED QUALIFICATIONS
Excellent written and verbal communications skills
Excellent organizational and time management skills
Positive and helpful outlook
Strong knowledge of Google Docs, Microsoft Word & Excel or similar programs
Experience using Tessitura (or commensurate knowledge of a similar database)
Ability to read music a plus but not necessary
Detail oriented, excellent proofreading skills
Ability to write a professional and clear email to a variety of clients
Non-profit and/or Performing Arts background
Minimum of 2 years of customer service experience
Basic music and music industry literacy a plus
Multilingual or bi-lingual (Spanish-English) a plus
EDUCATION College degree preferred.
